The Mammillaria Society and the General Data Protection Regulation, 2018

As you will probably know, new regulations about how organisations use the data they keep about individuals are due to take effect on the 25thMay 2018. At the moment, the Society holds information provided by the membership including:

·        Name (Including title as appropriate)

·        Full Address including post code and country.

·        Whether you pay tax (for Gift Aid)

·        Email address (where given).

·        Telephone number (where given)

·        The years of membership

This information is primarily held by the Membership Secretary. Names and addresses are passed from the Membership Secretary to the Production Editor so that he can send you the Journal each quarter. Your cash or cheque payments are banked by the Membership Secretary, who is also informed when payment is made by Paypal.

Name, email address and telephone number will be stored on the Society’s website, which as accessible by the website editor and any other committee member if required. This data will be stored for 3 years by default but can be deleted upon request

The Treasurer manages the finances, and has visibility of these payments but stores no details from these payments other than that which is accessible via Paypal or on our Bank statements.

On the occasion of our annual seed offer, members are requested to provide names and addresses as part of their order from this offer. These are not retained by the Seed Distributor.

No information is provided by any of the named Officials to any third party, other than the HMRC.

Whilst you are a member, the Society needs to use your data to provide the services described above. If you leave the Society, you have the right to erasure (also known as the ‘right to be forgotten’). You must contact the Membership Secretary to request that this be done. Otherwise, you don’t need to do anything, unless you aren’t happy with us holding this data, in which case please contact us.
